1. Refund Eligibility Criteria

Refunds are strictly subject to the stage of your visa application process with Bali VOA. Our services involve significant administrative effort, expert review, and liaison with government entities. Consequently, the eligibility for a refund is determined by whether your application has been formally submitted to the Indonesian immigration authorities.

1.1. Before Government Submission: 80% Refund Eligibility

You may be eligible for an 80% refund of the service fee paid to Bali VOA if you cancel your application before it has been formally submitted to the Indonesian immigration authorities or the relevant official visa portal. This stage is defined as when Bali VOA has received all your required documents and information, but has not yet initiated the official submission process to the government.

The 20% non-refundable portion covers the administrative costs, initial consultation, document review, data entry, communication, and resource allocation already expended by Bali VOA in preparing your application for submission. These preparatory steps involve significant time and expertise to ensure your application is accurate and complete prior to submission.

To qualify for this 80% refund, your cancellation request must be received by Bali VOA in writing via email (sales@balipremiumtrip.com) before we confirm that your application has been submitted to the government.

1.2. After Government Submission: 0% Refund Eligibility

Once your visa application has been formally submitted to the Indonesian immigration authorities or the relevant official visa portal, no refund will be issued. This means that if Bali VOA has completed the submission process on your behalf, the service fee becomes entirely non-refundable.

The reasoning for this policy is twofold:

  • Government Fees: Once an application is submitted, any associated government processing fees are typically non-refundable by the immigration authorities, regardless of the application’s outcome.
  • Service Rendered: Bali VOA’s primary service involves the expert preparation, review, and formal submission of your application. Once this critical step is completed, our core service has been rendered. The subsequent decision-making process rests solely with the Indonesian immigration department, which is beyond our control.

Therefore, no refunds will be granted for applications that have already entered the official government processing stage.

2. Refund Process and Timeline

If you believe you are eligible for a refund based on the criteria above, please follow these steps:

  1. Submit a Request: Send an email to sales@balipremiumtrip.com with the subject line “Refund Request – [Your Name] – [Order ID]”.
  2. Provide Information: Your email must include your full name, the order ID, and a clear reason for your refund request.
  3. Review and Approval: Bali VOA will review your request and verify the status of your application within a reasonable timeframe.
  4. Processing Timeline: If your refund request is approved, the refund will be processed within 30 business days from the date of approval.

Refunds will typically be issued via the original payment method used for the transaction. Please note that any transaction fees charged by your bank or payment processor for receiving the refund are your responsibility.

3. Exclusions and Non-Refundable Situations

Please be aware of the following situations where refunds will not be issued, even if your visa application is ultimately unsuccessful:

  • Rejection by Immigration Authorities: If your visa application is rejected or denied by the Indonesian immigration authorities, it does not constitute grounds for a refund from Bali VOA. Our service is to facilitate the application process, ensuring it is prepared and submitted correctly based on current regulations. The final decision on visa approval rests solely with the immigration department and is entirely outside of Bali VOA’s control. Factors such as changes in immigration policy, the applicant’s personal history, or internal government decisions are beyond our purview.
  • Incomplete or Incorrect Information Provided by Client: No refund will be issued if the application is delayed, rejected, or becomes invalid due to incorrect, incomplete, misleading, or fraudulent information provided by the client. It is the client’s responsibility to ensure all data and documents submitted to Bali VOA are accurate and truthful.
  • Failure to Provide Requested Documents: If the client fails to provide additional documents, clarifications, or information requested by Bali VOA or the immigration authorities within the specified timelines, leading to delays or rejection.
  • Change of Travel Plans: Should your travel plans change after your application has been submitted, preventing you from utilizing the visa, no refund will be issued.
  • Visa Validity or Duration: The specific validity period or duration of stay granted by the immigration authorities is beyond our control and not a basis for a refund.
  • Force Majeure: Events beyond our reasonable control, including but not limited to natural disasters, pandemics, acts of government, wars, strikes, or any other circumstances that disrupt visa processing, will not be eligible for refunds.

Bali VOA acts as a visa consulting and facilitation service. While we strive for the highest success rates and provide expert guidance, we cannot and do not guarantee the approval of any visa application. The final decision on all visa applications rests solely with the Indonesian immigration authorities.

Clients are solely responsible for reviewing all information provided to Bali VOA for their application to ensure its accuracy and completeness before final submission. We advise clients to thoroughly understand the visa requirements and their own eligibility before engaging our services.
